We are looking for an Office manager to organize and coordinate administration duties and office procedures.
Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
Previous experience as a Secretary or Office Manager would be an advantage.
This position is responsible for performing general office administration, maintaining accurate records, facilitating communication among office staff, Church congregation and other people while providing skilled clerical and technical support for the Church.
This position oversees the office by maintaining office equipment and supplies for the church and staff.
*Responsibilities* * Answering telephones, email messages, taking and relaying messages in a timely manner.
* Assisting walk-ins visitors and providing assistance as needed.
* Communicate pertinent information to the appropriate individual and their area of responsibility.
* Prepare the bulletin under the direction of the staff with activities that are scheduled.
Have the document proofread for accuracy.
* Coordinate and prepare the monthly newsletter, setting deadlines for articles, proofread and schedule the correlating and mailing.
* Contact person for updating and changing public media information for Facebook, and web sites.
* Update and maintain accurate records for the church including but not limited to membership rooster, funerals, marriages, baptisms, communion, directories, annual reports, etc.
* Compose letters, memos and emails.
* Screen documents for appropriate action and areas of responsibilities.
* Oversee all church mailings * Assist with the planning for special events, including but not limited to funerals, new memberships, confirmation, baptisms, weddings, special services, etc.
* Open and distribute mail.
* Maintaining the church calendar, Google calendar, Google groups, community calendars for upcoming events.
* Order church supplies.
* Scheduling regular maintenance on office equipment.
* Scheduling and booking conferences and meeting rooms.
* Manage security system, locking up, cameras,and alarm.
* Act as intricate part of the staff team supporting others.
* Other duties as assigned.
*Skills* * High School diploma or equivalent and four years of progressive office experience or equivalent combination of education and experience.
* Friendly and professional demeanor in dealing with others while maintaining confidentiality.
* Keyboarding skills.
* Working knowledge and prior experience of computer software programs , including but not limited to Word, Excel, internet, social media, email, website software, In-design, and Power Church (will train).
* Experience with general office equipment, including but not limited to copy machine, telephone, fax, duplicator, folding machine, etc.
* Exceptional written and verbal communication skills * Experience maintaining and prioritizing.
* Ability to work independently * Professionalism, excellent communication skills, multi-tasking, time management, self-motivated, maintaining confidentiality, reliability, dependable, team player, organized, and demostrates exceptional follow through.
* Physical abilities with or without reasonable accommodations; ability to lift up to ten pounds, reaching , pulling, lifting, climbing short stepladder, standing and sitting for an hour at a time, keyboarding and use of office equipment.
Job Type: Full-time Pay: $14.
00 - $18.
