The Administrative Coordinator position is responsible for specific administrative functions in support of the accounting, production, and media departments within the agency.
Job responsibilities include:
· Inputs vendor invoices to accurately bill client jobs or charge proper company general ledger accounts.
· Assists in issuing checks for supplier invoices, media invoices, and other company-related expenses.
· Assists in issuing payments through the CSI Vcard payment system whenever possible; promptly vetting new vendors through Wendt’s CSI contacts.
· Maintains accounts payable files by vendor.
· Investigates problem vendor inquiries, with media department assistance when necessary.
· Enters purchase orders into the Workamajig system.
· Enters estimates into the Workamajig system (when all information is provided by account managers).
· Assist Production Manager with maintaining an organized and structured SharePoint file management system (folder creation, filing within the system, etc.
)
· Proof and finalize the monthly invoice (including attached media Invoices, affidavits, and scripts) for Clients.
· Authorize media vendor invoices for payments upon review.
Assure proper documentation is received to confirm completion of media schedules, paid and unpaid, based on Wendt insertion orders and traffic instructions.
· Work with media buyer to resolve any invoice discrepancies or errors.
· Work with media sales reps to fix any invoice errors and get revised invoices or credit memos.
· Work with media vendors to answer questions about payment updates.
· Monitor the incoming invoices and print out all invoices for processing.
Job Type: Full-time
Pay: $38,000.
