The Role The Procurement team helps maximize value from Multitude Bank’s vendor relationships, so the stakeholders have the goods and services they need to succeed.
As a Procurement Operations Specialist within Multitude Bank, you will play a crucial role in maximizing value from the bank's vendor relationships and supporting the delivery of projects throughout the procurement life cycle.
This role combines strategic partnerships with various business units, and day-to-day operational support to meet procurement needs.
Reporting directly to the Procurement Operations Manager, the chosen candidate is required to be currently living in Malta, or willing to relocate to Malta.
Your primary focus will be on vendor due diligence and onboarding, ensuring process compliance with regulatory requirements, support with contract negotiations, vendor management, purchase order management, and reporting.
By effectively carrying out these activities, you will contribute to cost savings opportunities and overall improved service for the organisation.
In addition, as the Procurement Operations Specialist we are seeking an individual with a broad category management skillset across IT, Professional Services, Corporate Real Estate, Human Resources, Legal, etc… Your focus: Coordinating Vendor Onboarding, and Vendor and Agreement Reviews to ensure the risks are identified and mitigated or removed; Collaborating with vendors, suppliers, and stakeholders to establish and maintain positive relationships, negotiate contracts and pricing if needed, evaluate vendor performance, and resolve any issues or disputes that may arise; Collaborating with internal stakeholders, such as finance, operations, and legal teams, to understand their procurement requirements, provide guidance on procurement processes, and ensure alignment with organizational objectives; Analyzing procurement data, generating reports, and providing insights and recommendations to stakeholders, management, and cross-functional teams; Monitoring and tracking key performance indicators (KPIs) to evaluate procurement performance and identify areas for improvement; Ensuring compliance with procurement policies, procedures, and regulatory requirements; Assessing and managing procurement-related risks and implementing mitigation strategies; Managing the end-to-end process of purchase order creation, review, and approval, including verifying the accuracy of information, ensuring compliance with procurement policies, and resolving any discrepancies; Providing expertise and guidance to business stakeholders from a sourcing perspective to support and facilitate informed decision-making; Monitoring and evaluating supplier performance based on predefined metrics and criteria; Conducting supplier audits, performance reviews, and supplier scorecard assessments to ensure compliance with contractual obligations and drive supplier accountability; Utilizing procurement software and tools to streamline procurement processes, maintain accurate records, generate reports, and analyze data to identify trends, cost-saving opportunities, and process improvements; Continuously reviewing and assessing procurement processes, policies, and tools, identifying areas for improvement, and implementing strategies to enhance efficiency, reduce costs, and increase operational effectiveness.
Skills and Knowledge: A high degree of business ethics and accountability; Relationship management skills, including with senior executives; Exceptional teamwork and communication skills; Deep understanding of Operational Procurement and Vendor Management best practices; Practical experience with reporting and data analysis; Detail-oriented without losing sight of the big picture; Ability to adopt an agile mindset with the ability to prioritize and work in a fast-paced, continually evolving environment; Ability to maintain perspective and confidence in the face of difficult tasks, tight deadlines, and client expectations; Ability to work under limited supervision, exercise independent judgment, and consistently meet deadlines; Self-motivation, independence, and self-starting ability; Strong negotiation and influencing abilities; Demonstrated commitment to continuous improvement and thinking outside the box; Advanced knowledge of Excel and PowerPoint, experience working with procurement ERP systems, and Microsoft Power Platform; Strong analytical and problem-solving capabilities; Proficiency in vendor relationship management; Experience in contract negotiations and purchase order management; Knowledge of various procurement categories, such as IT, marketing, professional services, facilities, and contingent workforce.
Academic/Experience: Minimum 2 years of Operational Procurement experience; An undergraduate or higher education diploma/certificate, equivalent to MQF Level 5, or higher in Business/Commerce, MBA, LLB, Engineering, or Supply Chain Management required; A global mindset is required, and global experience is preferred.
