The front desk position is the face of FWP to the many visitors that come to the Region Headquarters.
The job is very demanding and oftentimes fast-paced, with long hours of standing at the Automated Licensing computer selling licenses, as well as answering unrelenting telephone calls and providing information to walk-in customers.
To accomplish these tasks the incumbent must develop and maintain a wide accumulation of information concerning licensing requirements, laws, regulations, rules and policies of the department.
They should be confident, self-assured, and flexible when presenting information to the public, doing so in a courteous and friendly manner.
This will involve the ability to quickly move from one topic to another as needed and possess adequate communication skills, both verbal and written to handle the wide variety of different customers that come into the office, call locally on the phone, call through the statewide call center and send emails and snail mail correspondence.
The schedule is Monday through Friday, 8 am to 5 pm with an hour lunch break.
The work environment is a heated and airconditioned office.
Must be able to lift 30-40 pounds.
Job Duties: This position provides first-line customer service to the sportsmen and sportswomen of the State of Montana and also internal customer service for regional personnel as well as technical and administrative support to all programs and divisions of Region 4.
Job duties include a wide array of services.
The front desk is the primary FWP license agent and is responsible for accurately issuing fishing, hunting, miscellaneous licenses verifying residency eligibility using knowledge of legislated criteria and sound judgement, and correcting licenses inadvertently sold incorrectly.
This position answers phone inquiries, researches topics to accurately answer a wide variety of questions and queries, provides fact-based answers concerning statutory laws, ARM Rules, and department policy; collects monies and balances daily/weekly sales, maintains and upkeeps the Visitor/lnterpretive center.
This will involve making sure that there are adequate publications and brochures in the publication rack and the digital media displayed in the center contains pertinent and up-to-date information and is seasonally appropriate.
Maintains the Enterprise account, ordering and inventorying the books for public sale.
Will collect biological information from hunters, trappers, and fishermen/women and record that information using departmental databases.
Will be a liaison between other governmental agencies, conservation organizations, and sportsmen groups scheduling the meeting room to accommodate their needs.
Will assist office manager in a variety of administrative tasks concerning budgets, vouchers, accounts payable, office correspondence, hunter education, game damage hunts, environmental assessments, assisting in the counting, reconciling, and depositing of weekly FAS fees.
Will assist fellow administrative assistants in scheduling school tours and programs and educational trunk use throughout the region.
Knowledge, Skills and Abilities: · Excellent public relations skills, including establishing positive work relationships with public and coworkers.
· Ability to handle difficult customers and situations.
· The ability to communicate effectively with external and internal customers in person, in writing and on the phone.
· The ability to work independently and provide the public with the correct information and licenses.
· Thorough working knowledge of office principles and practices.
· Considerable knowledge of business English, including grammar, spelling, punctuation and sentence structure.
· Skilled in organizing, prioritizing and time management · Ability to operate a computer, printer, fax machine, photocopier, cash register, credit card machine, calculator and multi-line voicemail telephone system.
· Knowledge of Microsoft Word/Excel/Outlook, with a heavy emphasis on Excel experience.
· Ability to adapt to various proprietary computer applications.
· Must possess the ability to understand, interpret and explain policies, procedures and regulations in an easily understandable manner.

Minimum Qualifications (Education and Experience): The knowledge, skills, and abilities of this position are normally attained through combination of education and experience equivalent a high school diploma or equivalent and at least 1 year of job-related work experience.
Other combinations of education and experience will be considered on a case-by-case basis.
